Office Administrator

JOB DESCRIPTION:

We’re seeking an energetic and experienced Office Manager/Administrator to help us handle day-to-day operations in the office at FCCI! You are someone who thrives on helping others, even taking initiative to proactively address issues that may arise. You are also some who likes to work in a fast-paced environment with quick changing priorities. This person is also someone who doesn’t mind getting their hands into a project and finding their way to a workable solution.

This role will be vital to our continued, and future success as we grow, through helping our team perform their duties to the best of their abilities. As the Office Manager/Administrator for First Capitol, you will get to work with all department heads to facilitate user access to our various accounts, and be the main point of contact for all office-related issues.

RESPONSIBILITIES:

  • Handle purchasing (and the budget) for the office supplies, equipment, and snacks
  • Oversee the daily maintenance of office kitchens, fax/copier areas, and conference rooms
  • Providing Tier 1 level phone and IT support before escalation to a third-party vendor
  • Manage FCCI active directory for employee network access including set-up, maintenance, and additions/edits to profiles within the system
  • Maintain company records and inventory for office equipment so that we may accurately forecast spending in the future
  • Review and make recommendations on office vendors
  • Create cost center maps for company cards, purchases, and parking
  • Parking administration, including reviewing monthly invoices, making changes, and purchasing parking validations/keycards for access
  • Process incoming and outgoing mail and courier needs for the organization
  • Typing company emails with impeccable grammar, sending faxes and file information to clients, and making photocopies for executives when requested
  • Handle all incoming calls to the main company line and transferring to applicable parties

DESIRED QUALIFICATIONS:

  • Bachelor’s degree is a plus, but not required
  • 1+ year(s) of increasing responsibility in an office administrator or office manager role
  • Must have good problem-solving and organizational skills with a strong eye for detail
  • Ability to wear multiple hats at once and prioritize tasks
  • Must have a positive attitude and great people skills
  • Proficiency with Microsoft Office, with emphasis on Word and Outlook with exceptional writing ability
